Office Coordinator at the Nordic Council of Ministers Office in Lithuania

Post: The position is full time regular contract. We apply three months’ probation.

If so, we have an exciting opportunity for you! The Nordic Council of Ministers Office in Lithuania is currently searching for an Office coordinator to join our dynamic team here in Vilnius.

In this role, you will be at the forefront to promote the organization’s development work to optimize and improve our workflows and internal processes as well as reporting skills. You need to be a good problem solver, receptive to constant learning and innovative thinking. You are used to working strategically in an international environment. Furthermore, we would like to see that you are confident and comfortable using IT and new tech.

Responsibilities:

  • Office management on a day-to-day basis to ensure the efficient function of the office
  • Develop administrative processes, collaborate on their implementation and identify areas for improvement
  • Handling financial documents (Unit4, electronic banking)
  • Contract and agreement management
  • Archiving and reporting
  • Internship coordination and onboarding for new colleagues

Qualifications:

  • Degree in the relevant field
  • Previous experience in an office management role or other service focused roles
  • Excellent organizational and multitasking abilities
  • Excellent communication skills in Lithuanian and English, both written and verbal. Knowledge of Scandinavian language is of high value
  • Experience with UNIT4 and Public360 or any other finance and archive system
  • Experience in reporting/results-based reporting; knowledge of Researchfish (or similar) is of value
  • Ability to work effectively both independently and as part of a team
  • Demonstrated enthusiasm for the Nordic region and an understanding of its political, social, and cultural dynamics
